Information
WHAT DOES A SHADOW DO?
As a member of a Shadow team, your tasks vary depending on your department! There are six departments: Set Up, Breakdown, Production, Ticketing, General Operations, and Security.
Tasks range from helping out with general festival logistics like setting up pre-festival, keeping a watchful eye on attendees for safety, helping us maintain a green site by keeping trash clean and water vats filled, or greeting everyone and keeping spirits up while attendees wait in their car for check-in.
Shadows are required to work two 4-hour shifts, for a total of 8 volunteer hours. All Shadows are also required to attend an orientation session prior to their first shift (schedule time may vary and this is subject to change).
WHAT DO I GET IF I JOIN THE SHADOWS?
Shadow members get to help make the magic happen and play an integral part in making sure that everyone has a great time! As a volunteer you’ll receive free access to Moonshadow Festival and may partake in the festival for free when you’re off duty. You’ll receive a volunteer shirt so everyone knows that you are part of the Shadow team!
Are you in college and interested in an internship? As part of the Shadows you’re eligible to become a part of our Moonshadow family. We have several departments to choose from and we’ll be looking for the volunteers who show exceptional talent, drive, and go above and beyond Shadow expectations.
ASSIGNMENTS
Volunteers are assigned to a specific department. You will work all of your shifts with the same team for the most part. Each member will perform a specific task at the festival, which helps us schedule volunteers and keep track of things! You’re welcome to let us know which department you’d like to be in, but we can’t guarantee you’ll get it.
ORIENTATION TIME
Zoom Meeting - Details: TBA.
SHADOW TRAINING
All Shadow volunteers are required to take part in a mandatory orientation, which includes a meet and greet, overview of the grounds, introduction to our core team members aka Moons, the history of our nonprofit A. Glantz Inc, and a tutorial of your specific job expectation.
YOUR SCHEDULE
Attached, you’ll find our tentative shift schedule! This will allow you to familiarize yourself with our schedule and see the possible shifts that you may be working. As we get closer, you’ll be receiving your specific schedule so that you can plan your free time accordingly!
When you do receive your schedule, please let us know if you have any questions! If we don’t hear from you, then we figure everything is good to go! If you can’t make your shift, it is crucial we know as soon as possible that way we can fill it up ASAP!
CHECKING IN
When it’s time to start your shift, all Shadows will go to headquarters for check-in. We can’t guarantee someone will be there but that is where you’ll find the materials to start and stop your shift. This is where you’ll receive your credentials and where you will pick up and drop off your walkie-talkies at the beginning and end of each shift (We’ll go over this information during orientation as well, so don’t worry!).
WORKING YOUR SHIFTS
-
ACTUAL SHIFTS within your departments will vary locations, so consult the map if you’re confused!
-
Production will be by the stages (At the Phoenix or Pool).
-
Ticketing will be at front gate.
-
Security Shadows will have designated areas, so consult the schedule & map.
-
General Ops is throughout the entire grounds where trash bins, portalets and water dispensers are.
-
-
Please allocate 10-15 minutes on top of your shift to grab the walkie-talkies and get to your assigned post.
-
All Shadow members are expected to be on time, fed and hydrated, sober, and wearing appropriate clothing for their shift.
-
Always wear your volunteer lanyard when you’re working and be sure to take it off when you’re not. We don’t want to confuse someone who’s supposed to be working with someone who isn’t. Also, guests will be consulting you for information and your lanyards help indicate that you’re a resource.
-
HIGHLY SUGGEST no open-toed shoes or sandals during your shift.
-
BRING A HEADLAMP WITH WORKING BATTERIES!! ESPECIALLY IF YOU HAVE A NIGHT SHIFT! LET US KNOW WELL IN ADVANCE IF YOU MAY NEED ONE!
-
Be sure to bring sunscreen, a water bottle, and snacks/meals for the weekend. There will be AMAZING food vendors all weekend long, but for those on a tighter budget don’t forget your nom-noms! Please note, you will be storing all of your things at your campsite so please arrive at your shift early and prepared.
-
Be sure to stay at your assigned location and or task until your shift is completely over. That’s the only way that we can be sure that those tasks are completed and everything runs as smooth as possible.
-
If you are ever confused about what to do or you feel your time is not being best utilized, please let us know!
